Landlord Data Protection Summary
Mydasoft Limited · Summary · 23 August 2026
This is a plain-English summary of how Mydasoft handles your data as a landlord using the platform. It sits alongside our full Privacy Notice, which remains the complete legal document — this summary is here to make the key points easy to find.
What Mydasoft is — and isn't
Mydasoft helps you track, organise, and stay on top of the compliance documents and key dates associated with your rental properties — things like right to rent checks, deposit protection, and statutory notice periods.
Mydasoft is not legal or financial advice. It does not constitute legal, financial, or professional advice, and nothing in the Service should be relied upon as such. Where the Service indicates a document, date, or requirement, you remain responsible for verifying your own legal obligations and are encouraged to seek independent professional advice where appropriate.
What we collect and why
- Your account details (name, email, contact information) — to run your account and communicate with you.
- Property and tenancy details you add — to track compliance status and relevant dates for each property.
- Compliance documents you upload (e.g. right to rent documents, gas safety certificates) — to check completeness and flag what's outstanding.
- Where a document contains a date the app needs (e.g. an expiry date), that specific data point is extracted and stored against the property — the document itself is handled per the retention rules below.
Where your data is held
Your data is hosted in the UK, on a self-managed Supabase instance based in London. We do not transfer your core account and property data outside the UK.
A small number of specific services we use to run Mydasoft are based outside the UK — including Resend (email delivery) and Anthropic (AI-assisted processing of uploaded documents), both based in the US. Each is covered by appropriate UK data transfer safeguards, assessed individually rather than by a blanket approach.
How long we keep things
- Documents uploaded but not linked to a claimed property or account are automatically removed after 24 hours.
- Documents that become superseded or expired (e.g. replaced by a newer version) are kept for a minimum of 6 years from whichever is later — the date they were superseded, or the end of the relevant tenancy — in line with standard legal limitation periods. This is a minimum floor, not an automatic deletion point; your account history isn't purged the moment 6 years passes.
Your rights
You have the right to ask what data we hold about you, to have inaccurate data corrected, and to request deletion where applicable. You can also raise a complaint with us directly, or with the Information Commissioner's Office (ICO), the UK's data protection regulator, if you're not satisfied with our response.
