About these terms

These Terms of Service ("Terms") are a contract between Mydasoft Limited, a company registered in England and Wales (company number 17343775, registered office 8 Thurne Way, Rudgwick, West Sussex, RH12 3ER) ("Mydasoft", "we", "us") and you, the person or business using the Mydasoft platform ("you", "your account holder").

By creating an account, or by using Mydasoft in any way, you agree to these Terms. If you don't agree to them, you shouldn't use the service.

These Terms sit alongside our Privacy Notice, which explains how we handle your data, and our Cookie Policy. Together, these documents govern your use of Mydasoft. If there's a conflict between these Terms and the Privacy Notice on a data protection matter specifically, the Privacy Notice takes precedence; on everything else, these Terms apply.

Mydasoft is intended for landlords and people managing rental properties in England. It is not designed around, and does not currently cover, the different legal regime that applies in Wales, Scotland or Northern Ireland. If you let property outside England, some or all of the compliance information Mydasoft surfaces may not apply to you.

Your account

To use Mydasoft, you must:

  • be at least 18 years old;
  • be a landlord, or be authorised to act on behalf of a landlord or letting business, for the properties you add to the platform;
  • provide accurate information when you register, and keep it up to date; and
  • keep your login details secure, and tell us promptly if you think your account has been accessed by someone else.

You're responsible for all activity that happens under your account. If you're using Mydasoft on behalf of a company, you confirm you have the authority to bind that company to these Terms.

We may suspend or close your account if we reasonably believe it's being used in breach of these Terms, unlawfully, or fraudulently. Where practical, we'll tell you why.

What the service does

Mydasoft lets you upload and store documents relating to your rental properties, for example tenancy agreements, gas safety certificates, EICRs, EPCs, insurance documents, deposit protection records, and right to rent evidence. Storing and organising your documents this way is free.

For certain document types, Mydasoft uses an AI system to read the document and extract key details, such as a renewal or expiry date, into a structured record, so you can see at a glance what's coming up. We email you ahead of a document expiring or a key date falling due. Alerts across your whole portfolio are a paid subscription.

Right to rent evidence is not read by our AI system. Documents you upload as right to rent evidence are stored so you can meet your record-keeping obligations, and any follow-up check date is entered by you rather than extracted automatically.

We aim to keep the service available, but we don't guarantee it will be uninterrupted or error-free. We may change, suspend or discontinue features from time to time. See "Changes to these terms" below for how we'll handle material changes.

Nature of the Service

Mydasoft is a tool for organising, tracking, and flagging your compliance documents and key dates as a landlord. It does not constitute legal, financial, or professional advice, and nothing in the Service should be relied upon as such. Where the Service indicates a document, date, or requirement, you remain responsible for verifying your own legal obligations and are encouraged to seek independent professional advice where appropriate.

What the service does not do

Mydasoft surfaces the information held in your documents. It does not provide legal, financial or compliance advice, and it does not make decisions for you. You remain responsible for meeting your obligations as a landlord.

Your responsibilities

Using Mydasoft doesn't transfer or reduce your legal responsibilities as a landlord. It helps you keep track of them. In particular:

  • You're responsible for complying with the law that applies to you as a landlord, including but not limited to gas safety, electrical safety, energy performance, deposit protection, right to rent, and the Renters' Rights Act 2025, whether or not you use an agent to help manage your property.
  • You're responsible for the accuracy of the documents you upload, and for making sure they're genuine and up to date.
  • Where Mydasoft's AI reads a document and extracts a date or other detail, you're responsible for checking it's correct before relying on it. Automated reading can make mistakes, particularly with unusual or poor-quality documents.
  • You won't use Mydasoft for any unlawful purpose, or upload documents you don't have the right to upload.
  • Where a document you upload contains another person's personal data, for example a tenant's, you confirm you have a lawful basis to process that data and to share it with us for the purposes described in our Privacy Notice.

Payment and cancellation

Storing and organising your documents is free. Alerts across your whole portfolio are a paid subscription, available as an annual plan at £79 per year, or a monthly plan at £9.99 per month, billed in advance via Stripe. Current pricing is shown on the site at the time you subscribe.

You can cancel your paid subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period. We don't provide refunds for the unused portion of a period already paid for, except where required by law. Your documents remain stored and accessible after cancelling; only the paid alert features stop.

If you're a consumer, rather than signing up on behalf of a company, and you subscribe online, you have a right to cancel within 14 days under the Consumer Contracts Regulations 2013. By subscribing, you confirm you want the service to begin immediately, and acknowledge that you lose this 14-day right once it does.

We may change our prices. If we do, we'll tell you at least 30 days in advance by email, and the new price will only apply from your next billing period onwards.

Our liability

Nothing in these Terms excludes or limits our liability for anything that can't legally be excluded or limited, including death or personal injury caused by our negligence, or fraud.

Subject to that, Mydasoft is not liable for:

  • any fine, penalty, court order, or other consequence you face as a result of failing to meet a legal obligation as a landlord. Mydasoft is a tool to help you keep track of your obligations, not a substitute for meeting them;
  • errors in dates or details extracted from your documents by our AI system, where you haven't independently checked them against the original document;
  • indirect or consequential losses, such as loss of rental income or loss of profit; or
  • interruptions to the service caused by circumstances outside our reasonable control, including outages of third-party services we rely on.

Where we are liable to you, our total liability in respect of any claim, or series of related claims, is limited to the amount you've paid us in subscription fees in the 12 months before the claim arose. For most account holders, that's a maximum of £79.

If you're a consumer, nothing in these Terms affects your statutory rights under the Consumer Rights Act 2015.

Ending your account

You can close your account at any time from your account settings, or by contacting us.

We may suspend or close your account if you breach these Terms, don't pay a subscription fee that's due, or if we reasonably suspect unlawful or fraudulent use. Where practical, we'll give you notice and a chance to put things right first.

When your account closes, your documents are handled in line with our Privacy Notice. We recommend downloading anything you need before closing your account, since data is deleted after a limited period following closure, subject to short technical backup retention and any legal retention requirements described there.

Changes to these terms

We may update these Terms from time to time, for example to reflect a change in the law, a new feature, or how the service works. If we make a material change, we'll tell you by email or through the app before it takes effect. Continuing to use Mydasoft after a change takes effect means you accept the updated Terms. If you don't agree with a material change, you can close your account before it takes effect.

Governing law

These Terms are governed by the law of England and Wales, and any dispute relating to them will be dealt with by the courts of England and Wales.
